Proposify Email Tracking: What It Sees and How to Block It

A Proposify proposal asks for your email address before it opens, then reports to the sender every time you come back and which sections held your attention.

An email lands from a vendor: "View your proposal." You click, type your email address into a box that appears before the document loads, and start reading. Proposify email tracking has already done its job. The sender's status flips from Sent to Viewed, an email notification tells them who opened it, and a timeline starts recording every return visit and how long you lingered on pricing. Proposify's own marketing promises sellers they can "Spot if someone forwards the proposal or if new viewers suddenly appear" (Proposify's proposal tracking guide). If you buy marketing, IT, construction or franchise services, you have likely been on the other side of that dashboard.

Key Takeaways

  • Proposify's help center says that by default it "requires viewers to identify themselves with their email address before accessing your documents," which ties every view and section timing to a named person.
  • Proposify's document analytics show the sender total views, total view time, last viewed time and a "Top 5 Viewed Sections" ranking by time spent, filterable per viewer.
  • Proposify documents its "Viewed" status as firing when someone opens the document link, not when the delivery email is opened, and we found no Proposify article describing an open pixel in that email.
  • An email tracker blocker can stop pixels and tracked redirects in the message that carries the link, but no inbox tool can stop the analytics that run on the Proposify page after you click.
  • Proposify's Data Processing Addendum names the customer as "data controller" and lists "IP address, location by region or country and product usage statistics" among the personal data it processes.

What Is Proposify?

Proposify is a Canadian proposal and quote platform that hosts sales documents as web pages with pricing tables, electronic signatures and built in viewer analytics.

The company is registered in Nova Scotia, according to its Data Processing Addendum, and says it has helped "thousands of companies" improve close rates. In May 2025 it released Proposify 3 in beta, a rebuilt platform whose feature list includes "Document activity and analytics" and "View notifications," while the older version is deprecated. It sits in the same category as the tools we covered in our Qwilr tracking breakdown and our PandaDoc investigation. What sets Proposify apart is the email gate. Qwilr makes identity checks an option; Proposify turns it on by default.

What Does Proposify Email Tracking Record?

Proposify records who opened the proposal, when, how often they came back and how long they spent in each section. Its help center articles on document tracking and the activity feed and document analytics list what the sender sees:

  • First open and last activity. A "First Open" timestamp that never changes and a "Last Active" time that updates each time you interact, shown down to the minute.
  • Who you are. An email notification "with details about who opened it," backed by the email address you typed at the gate.
  • How long you read. Total views, total view time and a timeline graph of when the viewing happened.
  • What you read. A "Top 5 Viewed Sections" ranking with time per section. Proposify's guide suggests reps open with "I noticed you spent time reviewing our pricing section..."
  • How fast you opened it. Legacy Proposify's metrics include "Time to view," described as "How long it took between you sending the document and them opening the link."
  • Where you were when you signed. On signature, the legacy signature details article says the activity feed shows your IP address, which "pinpoints the exact location your client was when they signed," plus details of the machine you used.

Alerts are configurable. Proposify's notification preferences let a rep be emailed only after the first view, on "each time a document has a new, unique view," or on "Each time a document is viewed." A separate alert fires when a document "has not been viewed by someone outside of Proposify" after a set number of days, which is how the nudge email arrives when you ignore the first one. Native Slack alerts are listed as "Coming soon," but the Zapier integration already has a Viewed trigger, and the HubSpot integration pushes "Document activity and status updates" back into the CRM.

Does the Proposify Email Itself Track You?

Proposify's documentation ties tracking to opening the document link, not to opening the email, and we found no Proposify article describing an open pixel in its delivery messages.

There are two ways a Proposify link reaches you, and they matter for your inbox:

  • Sent by Proposify. Per its email troubleshooting article, documents "are sent from an @proposify.com address with the reply-to being your own email." The sending guide promises reps that "You'll be notified when emails are delivered" and that they can "Monitor when recipients view the document." Delivery and viewing are documented. Opening the email is not.
  • Pasted into the rep's own email. Proposify's link sharing guide walks reps through pasting the link into Gmail, Outlook, a CRM sequence or a text message. Here the email is whatever the rep's tool makes it. A HubSpot sequence adds an open pixel and wraps links, as covered in our HubSpot tracking guide.

We also checked Proposify's public DNS. The hostname email.proposify.com points to mailgun.org, which is the pattern Mailgun uses for an open and click tracking domain. That shows the record exists. It does not show Proposify switches tracking on for proposal emails, and we could not confirm it either way without a test send. Proposify's DNS also answers any made up subdomain of proposify.com, consistent with the company subdomain setting in its account profile.

The brief we started from asked whether Proposify ships a Gmail or Outlook extension that tracks reps' ordinary emails. Its help center has no such article, and its integrations list covers CRMs, QuickBooks and Zapier, not inbox plugins. Proposify tracks the document, and the rep's email tool tracks the email.

Does Proposify Know When You Forward a Proposal?

Yes. Proposify markets the ability to "Track every person who views your proposal, including those who were forwarded the document," and the email gate makes those people identifiable.

There is no clever forwarding sensor. The gate does the work. Proposify's identify to view article says non logged in viewers "must enter their email address before viewing" and that "Engagement metrics are tied to specific people." Forward the link to your CFO and procurement lead, and the rep's feed gains two new names with their own reading times. On legacy Proposify, an unidentified forwarded viewer shows up as "a client" until they comment or sign. Proposify's analytics guide even reads "Repeated cover section views" as a sign of "Possible document sharing with colleagues."

Here is the part competitors skip. Proposify's legacy forwarding article says that when a forwarded colleague signs, "The email provided in this box will not be shared with the sales rep." That covers the signing step only. The view gate is the opposite: its whole stated purpose is telling the rep "who has viewed your document." The address you type to read a proposal goes to the seller.

Is Proposify Tracking Legal Under GDPR?

Proposify positions itself as a data processor, which puts the legal responsibility for proposal analytics on the business that sent you the link.

Its Data Processing Addendum states "the Customer shall be the data controller and Proposify shall be a data processor." The data subjects include "third parties with which Customer conducts business," meaning you, the recipient. The data categories include "IP address, location by region or country and product usage statistics," and the addendum warns that data "may be processed by Sub-processors outside the European Economic Area."

For compliance officers on the sending side, the split is familiar. Signature evidence such as IP address and timestamp has a recognised legal role under the EU's eIDAS Regulation. Per section reading time is sales intelligence. Article 5(3) of the ePrivacy Directive generally requires consent to read or store information on a user's device unless it is strictly necessary for a service the user requested, and we found no regulator ruling on whether dwell time telemetry on a proposal page clears that bar. If you send Proposify documents into the EU, disclose the analytics in your privacy notice. If you receive one, you can ask the sender, as controller, for a copy of what their dashboard holds about you.

How to Block Proposify Email Tracking

You can block the tracking in the email that carries the link and limit what the page learns, but you cannot open a Proposify document without the sender recording a view.

  • Stop automatic image loading. In Gmail settings, under Images, choose Ask before displaying external images. Limit: covers pixels in the delivering email only.
  • Run a tracker blocker in Gmail. It removes pixels and unwraps tracked redirects around the Proposify link. Limit: clicking through is still a visit.
  • Ask for a PDF. Proposify's own tracking article admits "Downloaded PDFs don't provide the same level of tracking detail." Limit: the rep may still want your signature on the web version.
  • Read once and take notes. Every return visit updates Last Active and can trigger a fresh alert. Limit: behavioural, not technical.
  • Send a summary, not the link. Each colleague who opens it becomes a named viewer. Limit: approvers may need the original.
  • Use a VPN before signing. It changes the IP address captured with your signature. Limit: it hides nothing about timing or the fact that you opened it.

Our guide to blocking email tracking in Gmail walks through each inbox option in detail.

Which Email Blocker Covers the Inbox Side?

Several tools block the email layer around a Proposify link, and none of them can block Proposify's document analytics.

  • Ugly Email flags tracked messages with an eye icon, so it leans toward detection.
  • PixelBlock blocks open pixels in Gmail but leaves tracked links alone.
  • Trocker works across several webmail services and flags pixels and tracked links.
  • Proton Mail loads remote images through a proxy, and HEY strips known spy pixels. Both mean moving your email to a new provider.
  • Gblock runs inside Gmail, blocks spy pixels, strips tracking links and updates its blocklist automatically, so you keep your address.

Our roundup of email tracker Chrome extensions explains the sales side tools that add those pixels in the first place. Be sceptical of any product claiming it can make a Proposify view invisible. The email gate and the analytics live on Proposify's page, so the only way to avoid being measured is not to load it.

Stop Email Tracking in Gmail

Proposify email tracking starts when you click the link, but the sales email carrying the link can track your open first. Gblock blocks spy pixels and strips tracking links inside Gmail automatically.
